Free email list cleaner: remove duplicate emails and flag the inboxes nobody reads
By Ryan Doyle, co-founder of Sales.co. Published November 2, 2026.
Paste email addresses below, one per line or a whole spreadsheet column. The cleaner removes duplicates (capital letters ignored) and second copies of one Gmail inbox, drops invalid entries, points out typos such as gmial.com, and flags role inboxes like info@ and noreply@. It also sets your free-mail share next to 45 business lists we sell. For marketers and small business owners cleaning a list before a send.
The cleaner is free. Sales.co's business email lists are $295 one time each, with a free 25-row sample on most list pages.

What this page adds: the free-mail share of your list next to the same count for 45 real business lists, industry by industry. Free-mail is normal for some trades and rare in others, so the number only means something next to the right industry.
How to read the result
- Exact duplicates are the same address twice. Mail servers ignore capital letters in practice, so Owner@Firm.com and owner@firm.com count as one.
- Same Gmail inbox: Gmail ignores dots in the part before the @ and anything after a plus sign, so jane.doe@gmail.com, janedoe@gmail.com and janedoe+promo@gmail.com all land in one inbox (Google's help pages on dots and plus aliases). This applies to @gmail.com addresses only: on a work or school domain run on Google, dots do change the address, so the cleaner leaves those alone. The cleaner keeps the first one it sees.
- Not a valid address: no @, no domain ending (tom@ridgelinehvac), spaces or characters an address can't hold. These bounce on every send.
- Domain typos: common slips in the big free-mail domains (gmial.com, yaho.com, hotmial.com, .con). The cleaner shows the likely fix and does not change the address for you, because only the person who typed it knows.
- Role inboxes belong to a job, such as info@ or office@. Do-not-email inboxes (noreply@, postmaster@, abuse@, mailer-daemon@) exist to catch bounces and complaints and are removed by default.
- Free-mail share: addresses on Gmail, Yahoo, Outlook, AOL, iCloud, Comcast and the other domains in the method below, as a share of the unique valid addresses.
Worked example
The list already in the box has 14 entries. The cleaner finds 1 exact duplicate (the dental office owner written twice with different capitals) and 1 second copy of one Gmail inbox (the salon owner with and without dots). It also finds 1 invalid entry (tom@ridgelinehvac has no domain ending) and 1 typo (gmial.com). Of the 11 unique valid addresses, 3 are role inboxes, 1 is a noreply address it removes, and 3 are free-mail, 27.3%. That leaves 10 addresses in the cleaned list. One of them is the gmial.com typo, which you fix by hand before sending; the invalid entry is left out.
Free-mail share by industry
Tattoo studios have the highest free-mail share of our lists, at 78.7%, and financial advisors the lowest, at 4.3%. Pooled across all 688,330 addresses the share is 35.6%; the median list is 36.5%.

What this cleaner does not do
It does not check that an inbox exists. That needs a connection to each domain's mail server, which a page in your browser cannot make, so a clean result here can still bounce. Run the cleaned list through an email verifier before a large send, and keep your bounce rate low by sending to the verified part only.
It does not judge consent. Whether you may email a contact depends on where the address came from and the law where they are. For US business email, the FTC's CAN-SPAM guide sets the rules for the message itself (a working opt-out, your postal address, a subject line that matches the message).
Its role and typo lists are short on purpose. They cover the common cases and will miss rare ones, such as a role address in another language.
Method
- Reading: the box is split on line breaks, commas, semicolons, tabs and spaces; quotes, angle brackets and a leading mailto: are stripped. Entries without an @ are skipped as not-an-address text (names, phone numbers, headers). Up to 50,000 addresses per paste.
- Valid: a local part of up to 64 characters, an @, and a domain with a 2 to 24 letter ending; 254 characters at most.
- Duplicates: compared in lower case. For gmail.com and googlemail.com addresses, dots and everything after a + are removed before comparing.
- Role inboxes: info, sales, admin, contact, office, support, hello, team, billing, accounts, hr, jobs, careers, marketing, help, service, enquiries, inquiries, reception, frontdesk, mail, webmaster, orders, booking, appointments, staff and a few spellings of these. Do-not-email: noreply, no-reply, donotreply, postmaster, abuse, mailer-daemon, bounce, unsubscribe.
- Free-mail: these 38 domains, the same list our list counts use: gmail.com, yahoo.com, hotmail.com, aol.com, outlook.com, icloud.com, msn.com, live.com, me.com, mac.com, comcast.net, sbcglobal.net, att.net, verizon.net, bellsouth.net, cox.net, charter.net, earthlink.net, roadrunner.com, windstream.net, frontier.com, juno.com, mail.com, ymail.com, protonmail.com, proton.me, gmx.com, yandex.com, zoho.com, aim.com, netzero.net, optonline.net, embarqmail.com, centurylink.net, rocketmail.com, outlook.co, hotmail.co.uk, yahoo.co.uk.
- Comparator: for each Sales.co list, addresses on those domains divided by all addresses with an email on file, from the list counts of between September 3 and October 21, 2026. Median across the 45 lists: 36.5%.
- Refresh: the page is regenerated from the list counts by scripts/render-free-tools.js; the comparison line is written from them.

FAQ
Is this email list cleaner free?
Yes. There is no sign-up, no email wall and no limit on how often you use it. One paste can hold up to 50,000 addresses.
Is my list uploaded anywhere?
No. The cleaning runs in your browser with JavaScript on this page. The addresses you paste are not sent to Sales.co or anyone else, the page's session recorder is set to mask the tool's boxes, and nothing is saved when you close the tab.
How do I remove duplicate emails in Excel or Google Sheets?
In Excel, select the column and use Data > Remove Duplicates. In Google Sheets, use Data > Data cleanup > Remove duplicates. Neither one knows that j.smith@gmail.com and jsmith+news@gmail.com reach the same Gmail inbox, and neither flags role inboxes or domain typos. Paste the column here to get those too, then download the cleaned CSV.
Does this check whether an email address exists?
No. It checks the shape of each address, duplicates, typos in common free-mail domains and the kind of inbox. It does not connect to mail servers, so it cannot tell you whether an inbox is live. For that, run the cleaned list through an email verifier before a large send.
Should I remove role addresses like info@ and office@?
Remove noreply@, postmaster@ and abuse@: nobody reads them, and they exist to catch bounces and complaints. info@ and office@ are often read at small local businesses, where they may be the only public address. This cleaner flags them and leaves them in unless you tick the box.
Is a high free-mail share a bad sign?
Not on its own. Many owners of local businesses run them from a Gmail or Yahoo address. Across 45 Sales.co business lists the free-mail share runs from 4.3% (financial advisors) to 78.7% (tattoo studios), with a median of 36.5%. A list far above its industry's share may be mostly personal addresses, so check where it came from.
